Request for proposal
Send us your RFP or security questionnaire
Procurement, IT and security teams can send a request for proposal, a vendor questionnaire or a contract review here. Tell us which documents you have and when answers are due; we reply in writing with a scoped response and a list of what we need from you.
We reply as soon as we can. If your deadline is too close for a careful answer, we tell you straight away rather than rush it.
What to send
Documents we can answer
Requests for proposal or information
An RFP, RFI or tender for a chatbot, automation, agent, voice or video build. We answer scope, approach, timeline and a fixed price for the defined scope, built up from our published plans.
Security and vendor questionnaires
Your own control list or an industry-standard questionnaire. We answer from the practices we actually run and mark clearly where a control is yours, ours or the model provider’s.
Data protection and contract terms
A data processing agreement, an NDA or your supplier terms. We review them before any work starts and mark up only the clauses we cannot commit to, with the reason.
Architecture and AI governance questions
Where data flows, which model providers a build would use, how answers are evaluated before launch and where a person stays in the loop for decisions that matter.

What happens next
From your list of documents to a written response
- Step 1
We confirm receipt
As soon as the request is saved you see a reference on screen, and a confirmation email follows with the same reference.
- Step 2
We read the list and ask what is missing
If you chose email, we reply with the address to send the files to. Where a question depends on scope we have not seen, we ask or state the assumption instead of guessing.
- Step 3
You receive a written response
Answers in your own format where possible: your spreadsheet, your template, your numbering. If the RFP asks for a price, you get a fixed price for the defined scope plus an estimate of running costs billed at cost.
- Step 4
A walkthrough call if useful
A call with the founder to go through the response, the proposed architecture and any open points, before you score it.
Plain answers
What we will not put in a response
Certification reports
MiniAI Labs is not certified against SOC 2, ISO 27001 or a similar standard, and we answer that question plainly. We describe the controls we use so your team can assess them directly.
Uptime percentages
We do not quote uptime figures. Builds run on infrastructure you choose, usually in accounts in your name, and a custom SLA is available for Enterprise engagements.
Customer logos or named references
Our public examples are concept builds and our own in-house systems, each labelled as such. We do not present either as client work.
FAQ
Questions procurement teams ask
Can you answer our security questionnaire in our own spreadsheet?
Yes. We answer in the file you send, keep your question numbering and add a short note wherever an answer depends on the final architecture, so your reviewers can see which answers are fixed and which follow from scope.
Is MiniAI Labs certified against SOC 2 or ISO 27001?
No. We are not certified against SOC 2, ISO 27001 or a similar standard and do not claim to be. Instead we describe the controls we run, such as least-privilege access, systems in accounts you own and encrypted transport, so you can assess them against your own requirements.
How quickly will we get a response to an RFP?
It depends on the size of the documents and the deadline you give us. We reply as soon as we can, and if your due date is too close for a careful answer we tell you at once rather than rush it, so you can plan around it.
Can we share the RFP only after an NDA is signed?
Yes. Say so in the scope step and list the documents without sharing them. We reply first with your NDA reviewed or signed, and you send the documents once it is in place.
Why can we not upload the documents on this page?
The form sends text only, by design. Confidential files stay out of a web form and out of an inbox until you decide how to share them: through your data room or portal, or by email to the address we send in our reply.
Will the response include a fixed price?
When the RFP defines the scope, yes: a fixed price for that scope, built from our published plans, plus an estimate of third-party running costs billed at cost with no mark-up. Where the scope is still open, we price a first milestone and quote the rest once it is clearer.
Who writes the answers to our questions?
The founder, Vijay K, reads and answers every RFP and questionnaire. Where a question is about a third-party provider the build would use, we answer from that provider’s published documentation and name the source.
What should we include so the response is accurate?
The business problem, the systems the build must connect to, expected volumes, languages, any rule on where data must stay, and your evaluation criteria with their weighting. Whatever is missing becomes a written assumption in our response.
