Engagement models

Five ways to work with us, each with a fixed price or a free start

Every engagement is one of five shapes, mapped onto our published plans. Each card says what it covers, what you receive, how long it typically takes, what it costs and what comes after, so you can pick the right starting point before the first call.

The five engagements

From a free call to an ongoing plan

Scroll through the stack in the order most projects meet them. Prices come from the published plans; your proposal sets the final figure.
  1. 01 / 05

    Scoping call

Find out whether AI is the right fix before anyone spends money.

    Free

    Free, with no commitment

Thirty minutes on one problem: what you want automated, the tools involved and what a good result would look like.

    • A straight answer on whether AI fits the problem
    • A written proposal afterwards, if you want one
    Typical timeline
Thirty minutes; the proposal follows on a date agreed on the call
    Commitment
    None
    Guarantee
Nothing to refund: nothing is charged
    What comes next
A build, or an Enterprise scope if several systems are involved
  2. 02 / 05

    Build

One clearly defined system, delivered once at a fixed price.

    from $497 one-time

Fixed price for the agreed scope; larger builds are quoted after the call

A single-channel chatbot, one voice call flow, one or two automated pipelines, a narrowly scoped agent, a starter video batch or a proof-of-concept integration.

    • Demos you can try during the build
    • A first working version you test yourself
    • The finished system with documentation
    • Thirty days of support on Starter
    Typical timeline
Typically 5–14 days, depending on the service
    Commitment
    One proposal, one delivery
    Guarantee
14-day money-back window on our fees from the first working version
    What comes next
Run it yourselves, order quoted changes, or move to the Growth plan
  3. 03 / 05

    Launch and handover

Put the build live and leave you in full control of it.

    Included in the build

Part of every build, not a separate fee

Going live on the channels in scope, a check in production, a walkthrough for your team and the transfer of admin control.

    • The system live and checked in production
    • Documentation for updating and checking it
    • Admin control of every account in your name
    • A running-cost summary showing where each cost is billed
    Typical timeline
After you approve the final delivery
    Commitment
Your approval of the final delivery
    Guarantee
Ownership of the deliverables passes to you once paid in full
    What comes next
The support window in your plan, then your choice of how it runs
  4. 04 / 05

    Operate and improve

Keep a live system tuned, extended and supported month by month.

    $997/month

Monthly fee; AI usage and other running costs billed at cost

Chatbots, workflows and integrations scoped upfront, monthly knowledge-base updates, prompt and evaluation tuning, and priority support. Agencies can resell it under their own brand through the Agency Partner programme.

    • Monthly knowledge-base updates and tuning of what is live
    • Changes inside the plan scope
    • Priority support while the plan runs
    Typical timeline
    Ongoing, billed monthly
    Commitment
Month to month; cancel at any time
    Guarantee
14-day window from the first working version delivered under the plan, usually the first month
    What comes next
Stay on the plan, scale up to Enterprise, or stop and keep what is built
  5. 05 / 05

    Enterprise

Larger programmes with custom models, several systems or on-premise deployment.

    Custom quote

Quoted per project after a scoping call

Custom models and fine-tuning, on-premise deployment, several connected systems and security reviews, delivered as HIPAA-aware, security-first builds.

    • A milestone plan with a working demo at each milestone
    • A dedicated point of contact
    • Contract terms agreed for the programme, with a custom SLA available
    Typical timeline
    Milestones set in the contract
    Commitment
A contract for the programme; payments can follow milestones
    Guarantee
14-day money-back window from the first working milestone
    What comes next
Ongoing operation under the contract or a monthly plan

People

Who works on your project

MiniAI Labs is founder-led. We name people only when they are real, so this section lists roles rather than a team photo.

On our side

Founder
Scopes the system, writes the proposal, designs the architecture, builds it, runs the demos and hands it over. Also the person you reach for support afterwards.
About the founder

On your side

Decision maker
Someone who can say yes to the scope and the price on the scoping call and approve the final delivery.
Point of contact
One person who answers questions during the build, arranges access and gathers feedback on demos.
Account owner
Whoever holds the provider accounts in your business’s name, so admin control can be handed back cleanly.

Inputs

What you provide, engagement by engagement

Most delays come from waiting on access or answers, so the proposal lists these up front.
Scoping call
  • A short description of the problem
  • The tools and systems involved
Build
  • Access to the tools in scope, by invitation rather than shared passwords
  • The content the system works from: FAQs, policies, documents or sample conversations
  • Provider accounts in your name, which we help you set up
  • Feedback on demos without long gaps
Launch and handover
  • Approval of the final delivery
  • Time for the team walkthrough
Operate and improve
  • Monthly priorities and change requests
  • Access kept current as your tools change
Enterprise
  • Security questionnaires and procurement contacts
  • Environment access for on-premise or private deployments

Routes

Common paths through the engagements

Each route is a sequence of the engagements above. None of them locks you in: every step ends with a decision that is yours.
  • Build and own it

    1. Scoping call
    2. Build
    3. Launch and handover

One system your team will run without us after the support window.

  • Build, then keep improving

    1. Scoping call
    2. Build
    3. Launch and handover
    4. Operate and improve

A live system that should keep getting better as you learn from real use.

  • Programme first

    1. Scoping call
    2. Enterprise milestones
    3. Operate and improve

Several systems, a security review or on-premise deployment from the start.

What we do not sell

There is no paid discovery sprint, no hourly retainer and no software licence. The free call and the written proposal cover discovery; builds have a fixed price and monthly plans a fixed fee.

FAQ

Questions about engagements

How much does an engagement with MiniAI Labs cost?

The scoping call is free. A build starts at the Starter price of $497 one-time, the Growth plan is $997 a month, and Enterprise work is quoted per project. Your written proposal fixes the actual price for your scope before any paid work starts.

Which engagement should we start with?

Start with the free call, then usually a single build: one chatbot, one call flow or one pipeline that solves a problem you can measure. Move to the monthly plan once the system is live and you want it tuned and extended, or go straight to Enterprise if several systems and a security review are involved from day one.

Is launch and handover charged as a separate engagement?

No. Putting the system live, checking it in production, the walkthrough, the documentation and handing over admin control are steps inside every build, covered by the scope in your proposal rather than sold as an extra.

What changes when we move from a build to the Growth plan?

The work becomes ongoing. Instead of one delivery, a monthly fee covers knowledge-base updates, prompt and evaluation tuning, changes inside the plan scope and priority support, and you can cancel at any time. The plan starts with its own proposal, and its first working version opens a fresh 14-day guarantee window.

Who will we actually be working with day to day?

The founder, from the first call to support after launch. There is no account manager in between, so the person answering your questions is the person who designed and built the system.

Do you sell a paid discovery or strategy phase?

Not as a separate product. The free scoping call and the written proposal do that work: the proposal sets out the problem, the scope, the approach, the price and the running costs, and you can take it elsewhere if you prefer.

What does an Enterprise engagement add over the Growth plan?

Custom models and fine-tuning, on-premise deployment, several connected systems, a dedicated point of contact and a custom SLA, with payments that can follow milestones. It is scoped on a call and quoted per project rather than priced from a list.

How does each kind of engagement come to an end?

A build ends at handover once you approve the final delivery and have paid in full, with support continuing for the window in your plan. A monthly plan stops at the end of the period already paid when you cancel. Either side can end a project early by written notice, paying for the work done up to that date.
